A good laboratory move protects the science as carefully as the equipment. Give every instrument, sample collection, chemical group, and data system a named owner. Get the new space ready before you shut anything down. Then move things in the order the new lab will need to restart them.
Do that, and the move becomes a planned transition rather than a race against downtime.
Start with four separate lists
Not one master list. Four, because each one has different rules, different risks, and usually different people responsible.
- Equipment: manufacturer, model, serial number, dimensions, weight, power, gases, water, drainage, ventilation, current condition, service contact, and the exact bench or room it is going to.
- Samples and research materials: owner, identifier, storage temperature, handling limits, destination, and who is allowed to release and receive them.
- Chemicals and regulated materials: current container, classification, quantity, safety data sheet, approved packer, transport method, and destination storage.
- Data and records: instrument data, notebooks, databases, backups, access rights, privacy requirements, and the person who confirms it all still works afterwards.
Keeping them separate matters because a moving company qualified to handle clean, disconnected instruments is often not qualified to handle chemicals, compressed gases, radioactive material, dry ice, infectious substances, or controlled substances. Your Environment, Health and Safety team should classify anything regulated and sign off on how it is packed and moved. Do not let that conversation happen for the first time on move week.
Get the destination ready before you shut anything down
This is where lab moves most often go wrong. The equipment arrives at a space that cannot yet receive it, and then sits in a corridor.
Walk the new space with lab staff, facilities, IT, safety, equipment vendors, and whoever is leading the move. Check door and elevator dimensions, floor loading where it matters, outlets, emergency power, network connections, gases, water, drains, exhaust, temperature, humidity, and access control. Label where every large instrument is going.
The University of Michigan’s lab relocation guidance makes the same point: involve your local safety team and finish the required reviews before any work starts in the new space.
Decide early how the freezers travel
If you have cold storage, this is the biggest single decision in the move, and it needs making months out rather than on the day.
There are two approaches. You can move freezers powered, running on a generator or inverter, which avoids handling the contents at all. Or you can move the samples separately into backup storage and move the freezer empty, which is gentler on the equipment and lets you verify what you have on the way through.
Which is right depends on the freezer type, how sensitive the samples are, the distance, the access at both ends, whether power is available, the timing of the route, and what the manufacturer recommends. There is no universal answer, but there is a wrong one: deciding at the last minute. Have backup storage arranged and tested either way.
Work to a timeline with names against it
Two to four months out
- Name one decision-maker in the lab and one contact at the moving company.
- Decide what moves, what gets replaced, what goes back to a vendor, and what has to be disposed of through approved channels. Moves are the cheapest time to get rid of things.
- Book vendor shutdown, packing, transport, installation, calibration, and certification wherever the manufacturer or the research program requires it. Vendor engineers get booked up.
- Confirm institutional, grant, privacy, permit, and sponsor requirements.
- Build the four lists.
Two to four weeks out
- Give every instrument, container, and sample shipper a unique label, tied to a destination room and a responsible person.
- Wind down non-essential work, and do not start experiments that cannot finish before shutdown.
- Test backup freezers, temperature loggers, alarms, and emergency contacts. Test them, do not just locate them.
- Confirm approved packaging, vehicles, permits, and trained handlers for anything regulated.
- Back up instrument data, then open the backup and prove it works. An untested backup is not a backup.
Move week
- Record the condition of equipment before it is packed. Photographs, dated.
- Have an authorized person release samples and a different authorized person receive them.
- Move freezers and other temperature-sensitive systems late out of the old lab and early into the new one, where the plan allows it.
- Keep emergency contacts, service numbers, manifests, and destination maps immediately to hand — not packed.
Protecting temperature-sensitive material
Cold chain means keeping a sample inside its required temperature range from the moment it is released to the moment it is received. Your written plan should name the acceptable range, the packaging, the expected travel time, the backup cooling source, the monitoring device, who gets the alarm, and what happens if the limit is breached.
Record the logger ID and start time before departure. On arrival, record the time, the condition, the temperature trace, who received it, and where it ended up.
And if a temperature limit is exceeded, quarantine the affected material for scientific review. Do not quietly put it back into use. That decision is the whole reason you fitted the logger.
Make custody easy to prove
Chain of custody is simply the record of who had a sample and when it changed hands. You need it for anything irreplaceable, regulated, clinical, legal, or sponsor-controlled.
The record should show the sample or container number, the seal number if you use one, release time, who released it, every transfer, arrival time, who received it, its condition, and where it now lives.
The simplest system is usually the strongest: one identifier that appears on the sample list, the shipper, the custody form, and the destination shelf. Resist any suggestion of a separate numbering system just for the movers — reconciling two schemes afterwards is exactly the kind of avoidable work that turns into a lost sample.
Preparing instruments for a clean restart
Follow the manufacturer’s shutdown and transport instructions. Some instruments need fluids removed, shipping locks fitted, vendor packing, a fixed orientation, or a service engineer present — and skipping any of those can void a service contract as well as break the instrument.
Photograph the connections before you disassemble anything, and bag labeled cables and parts with their parent instrument. The hour that saves at the far end is considerable.

Questions to ask a laboratory moving company
- Which work will your own employees do, and which goes to a specialist or the equipment vendor?
- What training and equipment will the assigned crew have for these specific instruments?
- How will you protect vibration-sensitive, upright-only, or temperature-sensitive items?
- Who supplies packaging, temperature loggers, seals, and custody records?
- How are damage, delay, and after-hours delivery handled — in writing?
- Can you give me recent references for lab moves of similar size and complexity?
The last one matters most. Laboratory moving is a specialism, and the gap between a company that does it weekly and one that is willing to try is enormous.
Restart in priority order
Bring back essential storage, monitoring, safety systems, data access, and shared instruments first. Everything else can wait for them.
Have a scientist or technician confirm that each system actually performs as required before research resumes — not that it powers on, but that it produces the right answer on a known control. Write down every open problem and put a name against it. Nobody’s memory is reliable after a long move day.
You are finished when every sample is accounted for, every required temperature record is readable, every instrument is where it should be, and your staff know exactly which systems are cleared for use.
