An apartment move has three decision-makers
You choose the moving plan, but the old and new buildings decide when and where the work can happen. A low transportation quote is not a low-cost move if the crew waits for an elevator, the truck cannot use the loading area, a certificate of insurance is rejected, or the keys are released after the reserved window. Price the move and the two buildings as one schedule.
Start with each property manager, landlord, condo association, or front desk. Ask for the written move rules, allowed hours, elevator and dock reservations, deposit or fee schedule, certificate requirements, truck restrictions, parking procedure, hallway protection, and contact for moving day. Do this before booking a provider. The building’s availability can determine the move date.
Use a complete apartment budget, not a mover subtotal
The complete cash need is transportation and labor, plus supplies and building access, plus travel or storage, plus the housing handoff. Keep refundable deposits in a separate cash column: they affect what must be available before the move even if they are eventually returned.
Ask every provider when billable time begins. Local crews may have a minimum, travel charge, equipment fee, or different rate after the scheduled window. A rental truck may add mileage, fuel, protection, tax, equipment, parking, and extra time. A container may need street or property permission and usually leaves packing, loading, and unloading to the customer. The cheapest service is the least expensive complete plan the buildings will allow.

The worksheet below is an illustration, not a market price. It shows why two people with the same size apartment can have different budgets. Replace every amount with the written price for the real unit, buildings, city, date, and service.
In this example, the $780 mover line is less than half of the complete cost. Removing the two-day overlap might save $450, but only if the key times, cleaning, elevator windows, and crew schedule still connect. A cheaper decision is useful only when the replacement plan is workable.
Save money by removing work before removing protection
Reduce the shipment early. Apartment residents often pay twice for unwanted furniture: once to move it and again to dispose of it after discovering it does not fit. Measure large pieces, doors, elevators, hall turns, and the intended location. Confirm donation pickup or disposal instead of leaving it for moving week.
Pack ordinary items yourself when time, ability, and protection permit, then buy targeted help for the bottleneck. Two trained helpers during a short elevator window may be more valuable than an all-day package. Furniture disassembly, a heavy safe, fragile art, or a piano should be disclosed before the quote; not every crew or building will accept the task.
Use free boxes selectively. Clean, dry, strong cartons can work for light or ordinary goods. Food-stained, soft, crushed, or oversized boxes create handling and stacking problems. Keep books and other dense items in small boxes. Label the destination room on the top and sides so unloaders do not need to stop and ask.
Give providers an apartment-specific quote packet
Send each provider the inventory, photos of difficult access, both addresses, dates, floor and elevator information, carry distance, parking or dock plan, building rules, certificate wording, and requested services. Ask the provider to mark what is included, excluded, conditional, or customer-provided. If the building must approve a certificate, have it reviewed before move day.
Give the crew one building contact at each address and keep a copy of the approval where it can be reached on moving day. A front desk that cannot find the reservation can cost more in waiting time than the reservation fee itself.
